Site Administrator

As we continue to expand our operations, we are seeking a skilled Site Administrator to join our team on site at the McIlvenny Bay Mine.
Job Description:
The Site Administrator plays a crucial role in ensuring the smooth operation of construction projects by providing administrative support to the site management team. This position requires excellent organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.
We are looking to fill the role at our McIlvenna Bay Mine site located 80km south of Creighton, SK. The shift is Monday to Thursday 6:00am-4:30pm. (Negotiable).
Responsibilities:
Document Management:
- Maintain accurate and up-to-date project documentation, including contracts, permits, drawings, and specifications.
- Organize and file documents in accordance with company procedures.
- Distribute documents to relevant stakeholders and ensure timely approvals.
Communication:
- Serve as the primary point of contact for all site-related communications, both internal and external.
- Facilitate communication between the site team, subcontractors, suppliers, and other stakeholders.
- Prepare and distribute meeting agendas, take meeting minutes, and follow up on action items.
Procurement Support:
- Assist with the procurement process by maintaining a site log for all items requested by the site management team.
- Coordinating deliveries with Procurement team and site management.
- Maintain inventory of administrative items on site
Health and Safety Compliance:
- Support the implementation of health and safety policies and procedures on site.
- Maintain records of safety training, inspections, and incidents.
- Assist in the preparation of safety reports and compliance documentation.
- Coordinate with Safety Manager.
Administrative Support:
- Provide general administrative support to the site management team, including scheduling meetings, arranging travel, and managing expenses.
- Prepare and submit all Daily reports and LEM’s.
- Prepare and submit weekly and monthly reports on project progress, budget, and expenditures, based on details shared by site management.
- Assist with the preparation of project closeout documentation.
Qualifications:
- Demonstrated stability and reliability, with a proven track record of consistent attendance, punctuality, and dependability in meeting work commitments.
- Previous experience in an administrative assistant role preferred.
- Proficiency in Microsoft Office Suite and project management software.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Knowledge of construction processes and terminology would be a definite asset.
- Ability to work independently and collaboratively in a team environment.
- Attention to detail and a commitment to accuracy.
- Ability to work in an industrial location and in camp situation where necessary.
- Must have valid class 5 drivers license and ability to get to site.
Education:
- High school diploma or equivalent experience required.
- Additional certification or training in construction management or administration preferred.
